Build a portfolio cash commitment calendar

Annual investment totals can hide months when several obligations occur together. A commitment calendar places known payments, reserve transfers and planned project draws on dates. Keep expected operating receipts distinct from cash already available, and label uncertain dates so a model does not imply funding certainty.

Evidence to assemble

Gather the source records before completing the worksheet. A missing record should remain an open question. Keep the original alongside any summary so the next person can trace the decision.

InputRecord with it
Available cash by accountRecord the source, document date, reviewer and unresolved question.
Known payment scheduleRecord the source, document date, reviewer and unresolved question.
Project draw estimatesRecord the source, document date, reviewer and unresolved question.
Restricted reserve balancesRecord the source, document date, reviewer and unresolved question.

Work through the decision

  1. List commitments by payment date.
  2. Separate committed and optional spending.
  3. Show cash already available.
  4. Review timing changes with the portfolio owner.

For each action, name the person responsible for preparing the response and the person who approves it. Record what evidence would close the item. If new information changes cost, timing or scope, update the affected plan and identify who needs the revised version.

Common failure to avoid

Do not fund a committed payment with an expected receipt without showing the dependency. A projection is not the same as a bank balance.

Worked example

A hypothetical portfolio has a furniture balance due before a seasonal payout. The calendar identifies the timing gap even though the annual cash summary appears positive.

This is an illustrative workflow, not a client case study or a forecast. Replace the example’s facts with the records for your own project.

Close the handoff

A finished worksheet should identify the result, its evidence and any remaining owner. If the result is uncertain, record the next action instead of marking the whole task complete. Keep the worksheet with the relevant source file and tell the receiving person which version applies.
